MailStore Outlook App Deployment
A notification should be created that is tailored according to your installation to use the MailStore Outlook Application for New Outlook. The notification explains how your MailStore installation can be accessed from within Outlook.

This notification can be uploaded to your Microsoft 365 tenant's app store. This makes the MailStore Outlook App available in the Outlook app store and can be centrally assigned to users by administrators via policy, or users can add the app to their Outlook from the app store.
Due to caching in the Microsoft 365 infrastructure, changes may not be visible immediately. This delay can occur both in the Microsoft Teams Admin Center and also in the new Outlook.
Requirements
- The new Outlook must be connected to a Microsoft 365 tenant.
- Administrative access to the Microsoft 365 tenant.
- MailStore requires a trusted certificate. This can come from Let's Encrypt or another certificate authority.
Creating the Notification
The notification includes, in addition to the MailStore hostname, a unique identifier that defines the app in the Outlook App Store. The identifier is permanently stored by MailStore and remains fixed for each installation, so that when creating more notifications, it is adopted and the app can still be defined using the same identifier. This allows you to update the existing app if the hostname that can reach MailStore changes.
Therefore, notifications should always be created on the server where the associated Outlook app will connect.
For Outlook to allow a connection to MailStore, one of the hostnames stored in the certificate must be used in the notification.
MailStore Server
- Open the MailStore Server Service Configuration.
- Go to Network Settings.
- Select a hostname from the menu or manually enter a hostname that can reach the MailStore Server.
- If you want to create multiple Outlook apps for multiple servers and want these apps to be distinguishable in the Outlook App Store, optionally enter a name.
- Click Create Notification and select the target file to create the notification.
- If you have multiple MailStore Servers, repeat these steps on each server where you want the Outlook app to be available.
- Proceed with the Installation section.
MailStore SPE
Do not follow these steps for MailStore Server.
To enable the download, some values may be required to expand the SPE Branding. Otherwise, the download will not be available.

Open the email archive client and connect to an instance as an administrator.

Go to Management > Various > Distribution.

If the download is disabled, you need to first configure the SPE Branding. The client must be restarted for the changes to take effect.

If you have logged in as a general SPE administrator via the MailStore SPE Web Console, enter an external URL that can reach the example, for example, https://archive.example.com/instanceid. If you have logged in as an example administrator, it assumes that you are using the external hostname for the MailStore connection and automatically uses this hostname to create the notification.

Click Download and select the target file to download the notification.

The example ID of the current instance is part of the notification. To create notification files for multiple examples, you need to log in separately to each example and create the notifications there.
Installation
- Log in to the Microsoft Teams Admin Center.
- Go to Teams Apps > Manage Apps.
- Click on Actions > Upload a new app.
- Click Upload and select the previously created notification.
- After a successful upload, the app can be found by searching for the name you selected from MailStore or SPE branding.
- Select the app and click Users and Groups.
- Publish the app.
- End users can now find the app in the Outlook app store and add it to their Outlook.
- You can also assign the app to users via policy. To do this, click Create Policy.
- Add a new policy or edit an existing one.
- Configure the policy according to your needs.
Updating
If the hostname that can reach MailStore has changed, the notification must be updated.
Create a new notification as described in the Installation section.
- Log in to the Microsoft Teams Admin Center.
- Go to Teams Apps > Manage Apps.
- Select the current app from the app list.
- Click File Upload in the overview box and select the previously created notification.
