MailStore Server and MailStore Service Provider Edition (SPE) Product Access Options

Our MailStore Server and MailStore Service Provider Edition (SPE) products offer four different access paths (hereafter, we will refer to MailStore Server, but all mentioned options are also available for MailStore SPE):

• Integration with Microsoft Outlook via MailStore's Outlook Add-in
• Browser-based access through MailStore's Web Access
• Access to the user's email client via an IMAP server integrated with MailStore Server
• MailStore Client desktop application

In addition to MailStore's Outlook Add-in, MailStore Web Access is the most popular way to access an email archive and offers a range of additional benefits.

Web Access provides secure, platform-independent access to your archive from any device with internet access and a modern browser (with TLS encryption). Whether you're using a smartphone or tablet, iOS or Android, Web Access means your emails are nearly always with you and you can take full advantage of the benefits of email archiving even when traveling.

How Does It Work?

As its name suggests, Web Access is based on the latest web technologies, so all you need is an up-to-date browser on your device. In MailStore Server version 13, Web Access was given a more sensitive design to help reduce download times and increase the visible read area.

Depending on the configuration, Web Access offers users a wide range of options from searching for emails and file attachments to individually downloading emails.

In Which User Scenarios Is Web Access a Useful Option?

As previously mentioned, Web Access is platform-independent and therefore a valid access option in any application scenario. Whether users can use this access method depends on how the IT administrator has configured the internal email system of the company.

Does your company primarily use Microsoft Outlook as an email client? If so, most users will likely prefer the MailStore Outlook Add-in over Web Access. However, if your company uses other email clients under Windows, such as Mozilla Thunderbird, or a different operating system (Linux, Mac OS, etc.), Web Access may be your preferred option.

In particular, when it comes to mobile access via smartphones and tablets, Web Access is a stylish and user-friendly option.

How Can Users Access Web Access?

Web Access is installed with MailStore Server and immediately available. Provided the MailStore administrator has not configured things differently, users can access Web Access via the following URL:

You should replace the variable with the full qualified domain name (FQDN) of the MailStore Server computer, for example: mailstore.example.com. Your MailStore administrator can provide you with information about the full URL to be used.

When the relevant URL is called, the MailStore Server will determine how the user is identified. There are two possibilities here:

• If the MailStore Server itself is in a location that can verify login data, a password dialog will appear when the Web Access URL is called. Users who have been created via synchronization with a user directory in MailStore Server can log in with their directory usernames and passwords. After entering the correct password, users can log in and access the archive.
• If users are synchronized from Microsoft 365* or Google G Suite, the web browser will be redirected for authentication via Microsoft (Modern Authentication) or Google (Open ID Connect) identity services.

Web Access Also Has Useful Search Functions

As with the MailStore Outlook Add-in, users can search their archives quickly and efficiently, for example, for specific keywords. All email attachments will be scanned at the same time. There is also an advanced search function that allows you to search for words containing specific items using wildcards here. With a secure HTML preview, you can easily view the search results and then archive the selected emails in one step ("one-click restore").

Practical Tip: Copy and Paste Web Access to Your Home Screen

A small tip to close the article: On most iOS and Android devices, you can use the browser (usually the menu behind the hamburger button) to copy the Web Access URL and paste it directly as a link or bookmark on your device's home screen.
